PrimaSocial β user manual
This manual explains, step by step, how to use PrimaSocial: from signing in to scheduling posts, following up on leads, and managing your team. Use the search box or the role filter on the left (at the top on a phone) to quickly find what you need. In the app, open this manual via Manual at the bottom of the menu. Parts labelled Only when switched on only appear once PrimaSocial has switched them on for your account. Each item is a collapsible card β click the title to see the steps.
π Getting started
Signing in, creating an account, resetting your password, and your first steps after registering.
Signing in
- Click Continue with Google or Continue with Microsoft to sign in with that account, or fill in your details.
- Enter your Email address and Password.
- Click Sign in.
Result: you land on the Dashboard.
Creating an account

- Fill in all fields.
- Click Create account.
Result: if email verification is required, you'll see "Check your email" with a one-time confirmation link. Otherwise you go straight into onboarding (or, if you arrived via a team invite link, you join that team immediately).
Forgotten password
- Enter your Email address.
- Click Send reset link.
- Open the email you receive and follow the link.
- Enter New password and Repeat password (at least 12 characters, must match).
- Click Save password.
Result: you're taken straight to the Dashboard with your new password.
Completing onboarding (first sign-in)
After your first registration you automatically go through three short steps (shown as "Step X of Y" at the top). You can skip non-required steps with Skip.
- Welcome β your name and, if it's still missing, your company name. Also choose your focus (for example recruitment, branding, or sales) β you can always change this later under Branding.
- Connect channels β connect your social media channels right away, or skip this step and do it later.
- Create your first funnel or post β create your first funnel or post, or go straight to the dashboard.
- Click Done to finish onboarding.
Result: you land on the Dashboard and the full menu is visible.
Navigating the app
The menu is on the left. On a phone, open it with the menu button at the top left. From top to bottom the menu shows:
- Dashboard, Assistant, Funnels & posts, Branding, Media, Leads, Follow-up calls and Video editor.
- The Channels group: Connect socials, Posts & planning and Inbox. Below those are Campaigns and Repurpose, only when they are switched on for your account.
- The Manage group (owners and admins only): Users, Notifications, Automatic replies, Integrations, Subscription and Advertise for me.
- The Platform group: for PrimaSocial's own platform management only; customers don't see it.
- At the very bottom: Manual (opens this manual in a new tab, in your screen language) and Sign out.
On a computer, the menu button at the top left collapses the menu to icons only. The language switcher (NL/EN) is at the bottom of the menu, and at the top right of the screen on a phone. See Working bilingually.
Signing out
- Click Sign out at the bottom of the menu.
Result: you're taken back to the sign-in page.
What if my account is deactivated?
If your workspace has been deactivated, you'll see Account deactivated when you try to sign in. Your data (funnels, posts, and leads) is kept, but you can't use the app until your account is active again. Contact support@primasocial.nl.
Accepting a team invitation
Received an invitation link from a colleague? Open the link. If you're not signed in yet, you'll first be asked to sign in or create an account β you'll then return automatically to the invitation page.
- Read the instruction "Click 'Accept' to become a member of the team."
- Click Accept.
Result: you're a member of the team and land on the Dashboard.
π Working bilingually
PrimaSocial is fully bilingual: Dutch and English. This chapter explains where and how language matters.
Switching the screen language
- Click NL for Dutch or EN for English.
The whole app (menu, buttons, messages) switches language instantly β you don't need to refresh the page. This only changes the language of the app itself. It does not translate content you typed yourself (such as the text inside a funnel).
The language of a funnel or post
Every funnel and post has its own Language of this funnel setting (Dutch or English), independent of your own screen language. This language determines:
- In which language the public page is shown to visitors/applicants β regardless of the language of their own browser.
- The language of automatic emails to applicants (confirmation emails).
- The language of WhatsApp texts related to this funnel (such as the opt-in text).
You set this language in the funnel's settings, inside the builder. See Funnels & posts.
The language of templates
If you start a funnel from a ready-made template, that template is shown and cloned in whichever screen language you currently have set. Switch your screen language first, and templates will appear in that language too.
The language of the monthly report
The monthly report you can share with a customer (via a link) is fixed in whichever language was active at the moment the report was created. If you switch your own screen language afterwards, an already-shared report link does not change β this is intentional, since such a link is usually forwarded to someone else. The automatic report email arrives in the recipient's own screen language. See Dashboard for creating the link.
π Dashboard
Your start page after signing in: how your funnels, posts, ads and campaigns are doing.
Viewing your numbers
At the top are three cards:
- Funnels & posts β how many funnels and posts you have created.
- Leads β the total number of leads received.
- Conversion β the percentage of people who opened a funnel and also completed it. Below it you see how many were completed and opened.
Below that is the Funnel with two bars: Opened and Completed. When campaigns are switched on, you also see a block with your running campaigns.
Viewing ad figures β per channel and per funnel
These blocks fill up once you have connected an ad account and are running ads.
- Ads β reach, clicks, ad costs and cost per lead.
- Per channel β per connected channel: reach, clicks, spend and cost per click. Click a column header to sort.
- Per funnel β per funnel or campaign: reach, clicks, spend, leads and cost per lead, with filters for funnel and campaign.
Sharing the monthly report with your client
The monthly report is a page with a month's results that you can share with a client or colleague, without them having to sign in.
- Click Create new link (only owners and admins see this button).
- The link appears under Link to the report. Click Copy and send it on.
Automatic email: on the 2nd of every month PrimaSocial automatically emails last month's report to the owner (or, if there is no owner, to the admins), in their own screen language. The block shows when the report was created, whether it has been emailed and until when the link is valid.
No report yet? Then you see: "No report yet. On the 2nd of the month, last month's report is emailed automatically."
β¨ Assistant
An AI assistant you can ask questions about your account, and that can prepare draft funnels, draft posts, or UGC video concepts. The assistant never publishes, advertises, or spends money on its own β you review and confirm everything yourself on the regular pages.
Asking the assistant a question
At the bottom of the page is a text field with the hint "For example, ask: which funnel generates the most leads?". Type your question and send it with Ctrl/β + Enter, or click the send button.
When the chat window is empty, you'll see a few quick-start buttons:
- Summarize my account β a summary of your account compared to last month.
- Analyze my leads β an overview of your leads this month, by funnel, location, and source.
- Create a draft post β a draft post for the planner.
- Create a UGC video concept β a concept for a UGC video (only visible if this is part of your plan).
Click New conversation to start over.
Reviewing and confirming a proposal from the assistant
If you ask the assistant to prepare something, an editable card appears that you must review and confirm yourself β nothing happens automatically.
- Review draft funnel β title, source text or source URL, an optional checkbox to prepare four draft images, or edit individual steps (heading/text/options) yourself.
- Review draft post β text, draft date, channels (pre-checked from your connected channels), an optional link in the message or job link.
- Review UGC video concept β title, goal, video outcome (post or funnel), duration, presenter (synthetic or your own portrait), camera style, location, tone, clothing, key message, call to action, and additional wishes. Portraits and consent for a real presenter are never handled in this conversation, only in the secured UGC wizard itself.
- Adjust the suggested fields where needed.
- Click Set up draft (or Create UGC concept).
Result: a link appears to continue directly, for example "Open in Posts & planning" or "Open draft funnel". Nothing has been published or posted yet β you do that yourself on the relevant page.
π§© Funnels & posts
Funnels are multi-step pages (for example for a job application or sign-up), posts are individual social media messages. You manage both on this page.
Creating a new funnel or post
- Choose one of the buttons at the top: Start with a template, New image post, New image funnel, New video funnel, or β if this is part of your plan β Create a UGC video. To have AI write a funnel or to pick a template, see the tasks below.
- For a template: choose one from the list (shown in your current screen language).
- You're taken straight into the builder to continue working.
Adjusting funnel or post settings

Publishing a funnel
- Review the details in the Publish funnel window.
- Click Publish now.
Result: you'll see "Your funnel is live!" and the label changes from Draft (amber) to Published (green).
Posting a post (step-by-step wizard)
- Channels β check which connected social channels to post to.
- Text β write the message text.
- Image β choose or create an image.
- Post β click Post now.
Result: "Your post is live!"
Turning a post into a funnel
Only visible if this feature is enabled for your workspace.
- Click Turn this into a funnel.
- Confirm the dialog: this creates a new funnel and uses 1 AI text.
- You land straight in the editor for the new funnel.
The new funnel gets text the AI writes based on the post, and the post's image is carried over automatically as its cover β you don't need to make a new image.
Result: a new funnel you can finish and publish right away, linked back to the post it came from.
Viewing a funnel's stats
You'll see key figures, a per-day table, where visitors drop off, results by source, and (if configured) a comparison between variants (A/B). The Leads per post block shows how many leads each posted post brought in; clicking one opens it in Posts & planning. No leads via a post yet? Then you'll see a short explanation instead of an empty table.
Viewing the public page
Opens the page as a visitor sees it, in the language set for that funnel.
Creating a video for a funnel
A short phone video becomes a post with captions and a trackable link to your funnel.
- Click π¬ Make video post and add your video. The screen tells you how many clips and seconds you can use.
- PrimaSocial transcribes what is said. This can take up to a minute β keep the screen open.
- Under Check the captions, correct any misheard words. An empty word is left out.
- Under Caption styling, choose position, font, colour and weight, then click Create preview.
- Fill in Text above the video (required), choose your channels and keep Add funnel link with tracking tags (recommended) switched on.
- Click Post now.
Result: your video post is live.
Prefer to work outside a funnel? Use the Video editor in the menu.
Only when switched on Under Music under your video you can choose "no music" or one of your house tracks (create those first under Branding β Music for your brand). The music is mixed under your voice β quieter while you're speaking, fading out neatly at the end. If you pick a house track, TikTok gets it too (no separate choice possible on TikTok itself); music from the Instagram catalog is coming in a later update.
Creating a UGC video with Omni
Only visible if this feature is part of your plan. Open it via the Create a UGC video button on the Funnels & posts page, or via a proposal from the Assistant. The secured wizard guides you through choosing a presenter, camera style, message, and (if applicable) consent for a real portrait.
Getting your post spread further (advertising)
On a published post, you'll find the Spread your post section, which takes you straight to Advertise for me with this post already filled in.
Deleting a funnel or post
- Click the trash icon Delete.
- Confirm in the Delete funnel window: the question names the funnel or post and warns that this cannot be undone.
Having AI create a funnel (job text or web address)
- Click Start with a template. At the top is the Generate with AI block.
- Paste a job description (at least 50 characters) or a web address starting with https://.
- Click Generate funnel.
Result: the AI builds the steps and you go straight to the builder, where you can adjust everything.
Starting from a template
- Optionally filter by category and click a template. You see a preview on a phone screen and the description.
- Choose how to use the template: as it is, rewritten in the style of your brand profile (see Branding), or with a new brand profile from your website.
Result: the template is copied to your account and the builder opens.
Having AI write a post (text + images)
- Open a post and go to the β¨ Create your image post with AI block.
- Describe in your own words what the post is about. If you have a brand profile, the AI uses your brand style automatically.
- Let the AI create the text and images, and pick the image you want to use.
- Polish the text; the preview updates live.
Only when switched on With Create a version per channel the AI writes a separate text and hashtags per channel, which you can adjust per channel.
What a visitor to your funnel sees
- Start screen β your logo, the heading, the text and a big button to start, with a progress bar at the top.
- Questions β depending on your routes, the visitor continues, jumps to another step, or the funnel ends politely (then no data is stored).
- Contact form β the visitor fills in their details, gives consent and submits.
- Thank-you screen.
Result: the submission appears straight away under Leads and, with a phone number, under Follow-up calls.
π οΈ The funnel builder
On the left you edit the content, on the right you immediately see a preview on a phone screen. The builder saves your work automatically. Members may edit; publishing, advertising and managing the logo are for owners and admins.
Changing title, colours and style

Editing steps (with smart questions)
- Add a step or open an existing one and choose its type, for example a question, a text or the contact form.
- Fill in the heading and the text.
- For a question, fill in the answers and set per answer where the visitor goes: the next step, another step, or stop (reject without storing data).
- Optionally attach an image per step. Move steps with the arrows or delete them.
Having AI rebuild the funnel
The builder has a card where the AI (re)writes the steps for you based on, for example, company name, job title and a rough job description.
Result: the AI fills in the steps again; afterwards you can fine-tune everything yourself.
Creating or editing images with AI
Create: describe what the image should show, choose mood and format and let the AI make variants. Click the variant you want to use.
Edit: upload your own photo or use the current image, describe what should change and let the AI adjust it.
You manage your own photos in the image library; see also Media.
Testing two versions (A/B test)
- Tick Test two versions (A/B).
- Click Copy version A as a starting point and adjust version B.
- Switch between version A and version B in the preview.
Result: visitors randomly see version A or B. The results per version are in the funnel's Stats.
Publishing changes to a live funnel
If your funnel is already live, the builder first saves your changes as a draft; visitors still see the old version.
- Edit the funnel.
- Click Publish changes when you're happy.
Result: the live version is updated. You don't pay for this again.
Sharing or embedding a published funnel
- Public link β copy the link and share it wherever you like.
- Embed β copy the code to show the funnel on your own website.
- Spreading it β post your funnel for free on your own channels or make a video post. See Posts & planning.
π― Advertising with your own Meta account
Promote a funnel or post as an ad on Facebook & Instagram through your own Meta ad account. You pay the budget directly to Meta. No ad account of your own? Use Advertise for me.
Starting an ad from a funnel
- In the builder, click Advertise on Facebook & Instagram.
- Fill in text, budget per day, run time, ad category and target area. The top shows which ad account the budget is charged to.
- Check the Estimated reach and the summary with the maximum total amount and the end date.
- Click Create ad.
Result: your ad is ready at Meta and stops automatically on the end date. Pause it earlier in Meta Ads Manager. You see the results on the Dashboard.
Understanding the estimated reach
- Estimated reach β how many people fit your audience, according to Meta. Exclusions make the group smaller in reality.
- If you have advertised before, you also see an estimate of views per day, calculated from your own previous ad costs.
Sponsoring a post on Meta
You can also show a single post as an ad, with its own destination link and a button on the ad.
- Open the post and, in the Sponsor this post on Meta block, click Advertise on Facebook & Instagram.
- Check the text and choose the button on the ad, for example "Learn more" or a WhatsApp message.
- Fill in the destination link (must start with https://), or your WhatsApp number for a WhatsApp button.
- Set budget, run time and audience and click Create ad.
π¨ Branding
Your brand profile, logo, and house-style colors β used when generating new funnels and images.
Generating or updating your brand profile
- Enter Your website URL or brand name (required).
- Click Generate brand profile (if a profile already exists, the button reads "Update brand profile").
Result: "Saved" β you'll see the tone of voice, core values, and four color swatches (Brand, Background, Text, Button).
Uploading or replacing your logo
- Click Upload logo (or Replace logo if one is already set).
- Choose a PNG, JPEG, or WEBP file, up to 5 MB.
Click Delete to remove your logo.
Setting your focus
Choose one of: Recruitment, Branding, Sales, or A bit of everything. You usually set this during onboarding and can adjust it here later. Changes are saved instantly.
Capturing your style and music
- Learn my style β pick 5 to 10 photos you like. PrimaSocial writes down what they have in common; switch off what you don't want and click Save this. Your posts then start to look like that style.
- Music for your brand β create house tracks you can put under your video posts.

Your library of images and videos that you can reuse in funnels and posts.
Adding a description to an image
- Fill in the Description for image field on an image (required, this is the alt text).
- Click Save description.
Result: "Description saved".
No images saved yet? You'll see the message "No images saved yet."
Deleting an image
- Click Delete next to the image.
- Confirm: "Permanently delete this image?"
Adding a video to your media library
Only visible if video storage is part of your plan.
- Click Choose video from computer (MP4, MOV, or M4V, max 100 MB).
- Answer the required question Was AI used? (required) with No, Yes, or I don't know.
- Click Save to Media.
Result: "Video is in your media library."
Further actions per video: View/Hide, Edit (1 credit), Delete (with confirmation "Permanently delete this video?").
π₯ Leads
Everyone who has responded via a funnel or post (for example an applicant or an interested prospect) ends up here.
Viewing and searching leads
Filter on the left by type (All / Funnels / Posts), status (All / Published / Draft), and source. Search at the top of the table by name, email, phone, or city. Columns: Name, Status, Email, Phone, City, Source, Date (clickable to sort).
No leads yet? You'll see: "No leads yet β As soon as someone fills in a funnel or post, it will appear here."
Exporting leads to Excel/CSV
- Click Export CSV at the top right (only visible if there are leads).
Result: a CSV file with all your leads is downloaded.
Viewing a lead in detail
Click a name in the list. You'll see: contact details (Email, Phone, City, linked funnel), the answers the person gave, source (source, UTM, referring page, device), consent and retention period, the delivery status of the customer notification and applicant confirmation (Ready to send / Sending / Sent / Not delivered), the call history, and β if the lead is reachable via WhatsApp β a WhatsApp section where you can read back earlier messages.
Managing leads on the board (Kanban)
Columns: New, Contact, Appointment, Won, Lost. Move a lead using the status field on the card, or open Details for more options:
- Assigned team member β assign a colleague (or "No one").
- Reminder β set a date/time and click Save, or Clear reminder. An overdue reminder gets the label "Overdue".
- New note β type a note (e.g. "called back, next step scheduled") and click Save note.
- Activity β a timeline of what happened with this lead and by whom.
π Follow-up calls
A personal call list of applicants/leads who haven't yet been assigned to a colleague, that you follow up with yourself.
Working through your call list
"The applicants you follow up with yourself. Tap a number to call and check off once you've spoken to someone. Callback appointments appear at the top."
Each card shows name, city, funnel/source, when the lead came in, and a label such as Call back with the agreed date (with "was" in front when that moment has passed), or Not reached. Tap the phone number to call directly.
Nobody left to call back? You'll see: "No one to call back π"
Recording a call outcome
On each card you can choose:
- Reached β the lead disappears from your call list.
- Not reached β the lead stays visible with that label.
- Call back β choose a date/time under "Call back on" and click Save.
π¬ Video editor
A standalone video editor, not tied to a single funnel β handy for cutting your own clips or editing with AI.
Creating or editing a video
- Upload your own clips, or click Create with AI to generate or edit a clip using a text prompt.
- Use silence detection to automatically find and remove silences.
- Optionally generate a script (teleprompter text).
- Add text layers, concatenate clips, or add a brand outro.
- Save the result to your media library or download it.
For a job vacancy there's a separate workflow: a job posting text is analyzed and automatically turned into a video design.
ποΈ Channels β Posts & planning
Write, schedule, and review social media posts, either one at a time or in bulk for a whole week or month.
Writing and scheduling a single post
- Check the channels you want.
- Write the Message text.
- Optionally link a funnel via Add funnel link (optional) (or leave it on "No link").
- Choose a time under Schedule, or click Post now right away.
First comment, Reel title and “also as a story”
Three extra fields sit next to the message text. You do not have to fill them in; leaving them empty works exactly as before.
- First comment — posted as a comment right below your post. Useful for a link, because a link in the text itself often reduces reach. Works on Facebook, Instagram, LinkedIn and YouTube. TikTok and X do not have it, and the screen tells you so before you publish.
- Reel title — only Facebook has this field, and only on a Reel. Instagram does not have it, so it is not sent there.
- Also as a story — publishes the same post as a story on Instagram and/or Facebook. A story stays online for 24 hours. Note: a story is visual, so your text and first comment do not come along there — the screen warns you. You can mix channels: a story on Instagram and a regular post on LinkedIn, in the same publication.
Choosing the post type (regular post or story)
When you build a monthly plan, PrimaSocial picks a type per draft and spreads them across the month. The calendar shows a small label for types that differ from a regular post; a regular post gets none, otherwise every item would carry one.
You can change the type per post. If one of your channels cannot handle that type, PrimaSocial says so when scheduling instead of quietly doing something else.
Planning multiple posts ahead (batch)
- Turn on Plan multiple posts ahead.
- Choose a period (week or month), frequency per week, start date, and channels.
- Check Add AI images if you want images generated automatically (note the displayed AI quota).
- Click Generate drafts.
Only when switched on With recipes, the monthly planner varies between fixed kinds of posts by itself and remembers which combinations it has already used.
Result: a series of draft posts appears in the calendar, which you can still adjust before they're posted.
Submitting a post for approval and reviewing it
- Click Submit for approval on a draft post (another admin must exist on the team to be able to review it).
- Another owner or admin clicks Approve or Reject (a reason is required when rejecting).
- Want to withdraw your own request? Click Withdraw request.
The calendar also shows automatically paused posts, for example when a linked job vacancy has gone offline.
Seeing which post brought in leads
A post with a linked funnel that brought in leads gets a badge like "3 leads". This only works for posts with a linked funnel link; a post without a funnel link can't measure leads. The same overview is also on the Stats page, per funnel, under Leads per post.
Turning a post into a funnel
Only when switched on Open a post in the calendar and click Turn this into a funnel β see Funnels & posts for the full explanation. Unlike Add funnel link (optional) above (attaching an existing funnel to the post), this creates a brand-new funnel from the post's text and image.
π¬ Channels β Inbox
Messages, comments and direct messages from your connected channels in one place. Everyone on the team can read and answer the inbox. Next to Inbox in the menu you see the number of unread messages.
The four tabs
- WhatsApp β conversations with your WhatsApp number.
- Comments β comments on your posts and ads.
- Direct messages β private messages via, for example, Facebook, Instagram and X.
- Spam β messages pretending to be Facebook or Instagram, and conversations you mark as spam yourself.
Filter by channel at the top or choose Unread only. Page through with β Previous and Next β.
Reading and answering WhatsApp conversations
- Click a conversation. New messages appear by themselves; an opened conversation is marked as read.
- Type your reply in the field at the bottom and click Send. Use the image icon to add an image, optionally with a caption.
- The message menu lets you Reply (with a quote), Copy and, for images, Download.
Answering comments and turning them into leads
- Reply β choose Reply publicly or Reply privately.
- Read and Hide β keep your list tidy.
- Turn this into a lead β turns the writer into a lead. With Link lead to funnel you choose which funnel that lead belongs to.
- View on the platform β opens the comment on the channel itself.
Answering direct messages
- Open a conversation and click Reply.
- Type your message and click Send.
When automatic replies are on, the conversation shows who is replying. Click Take over to continue the conversation yourself.
Marking spam or moving it back
- Click Mark as spam on a conversation. It then appears under Spam.
- Not spam after all? In the Spam tab, click Not spam. The conversation goes back to Direct messages.
Each spam conversation shows why it is there: flagged by the automatic check, or marked by you.
π― Campaigns
A campaign bundles your posts, funnels and ads around a single goal, with a run time and a target. That way you can see at a glance what an effort delivered. Campaigns only appear in the menu once PrimaSocial has switched them on for your account. Only when switched on
Create a campaign
- Give the campaign a name, for example "Autumn hiring drive".
- Pick what you want to achieve (vacancy, course, service, product, event, lead magnet, real estate or hospitality).
- Write the subject in one sentence, for example "Hire 20 engineers in October". The AI uses that sentence later when it writes for you.
- Fill in the run time: the start date and the last day.
- Optionally set a lead target. Leave it empty and PrimaSocial simply shows the counts without a percentage.
See what a campaign delivers
- Posts published β how many of this campaign's posts are actually online.
- Leads β how many sign-ups came in through those posts. A lead counts towards the campaign that owns the post it came from. A lead with no known origin (someone who visited your site directly, say) counts nowhere.
- Cost per lead β only shown once the ad spend is known. If it says "no spend known yet", either no ad is running or PrimaSocial has not received the spend figure yet.
A finished campaign: extend, run again or archive
Once the last day has passed, the campaign shows as Finished and you get three choices:
- Extend β move the end date forward. The campaign simply runs again.
- Run again β creates a new campaign with the same goal and subject, and a fresh run time starting today. The old campaign stays, with all its figures.
- Archive β removes the campaign from your list and your dashboard. Nothing is deleted: your posts, funnels, ads and leads all stay. Use Show archived to bring it back.
Linking a funnel to a campaign or unlinking it
- In the Linked funnels block, click Link or unlink a funnel.
- Under Choose a funnel, pick one of your funnels. If you have many funnels, page through with Previous page and Next page.
- Click Link. To unlink a funnel again, click Unlink next to that funnel.
Result: "Link saved." The funnel is in the campaign's list; leads via that funnel count towards it.

Turning a recording, text or web page into campaign material
An owner or admin creates products; a member can read the results.
- Open Repurpose and first choose a campaign.
- Add your source and choose the source language. Let the source be processed and analysed.
- Then choose the available products: clips from video, quote images, channel posts, a carousel or a blog. The choices depend on the source and enabled features.
- Create a product and wait until it is ready. If uncertain, refresh the status before retrying.
- Review the drafts in the planner before scheduling. Read a blog at its source; use Copy text or Download Markdown to keep it.
Nothing is published automatically. A successful blog uses one text allowance; an automatic retry for rejected quotes does not use a second allowance.
Why is a quote missing?
A quote must come literally from the source. If a blog contains a non-literal quote, processing retries once. If it still fails, you see the rejected quotes and can retry; no rejected blog is stored as a result.
What happens when I clean up the source?
The source file and source text are cleaned up, but created products and the blog remain. You must wait while processing is active. If you close the screen, no further products start automatically; return and check the status.

Invite team members, manage their role, and transfer ownership. Only visible to owners and admins.
Inviting a team member

- Fill in the email and role.
- Click Invite.
Result: a one-time invitation link appears with a copy button β share this link with the new team member; it's only shown once. Valid for 7 days.
Withdrawing a pending invitation
- Click Withdraw next to the invitation.
- Confirm: "Withdraw invitation?"
Changing a team member's role
- Choose a different role for the team member in the dropdown (Member or Admin).
You can't change your own role or the owner's role here β you'll see a fixed label instead of a dropdown.
Remove a team member
- Click Remove next to the team member (beside the role menu).
- Confirm the question. The row disappears immediately; the seat is freed.
That person loses access and their account immediately. Funnels, posts and leads they created stay with the company. You cannot remove yourself or the owner: transfer ownership first.
Transferring ownership
- Choose the Owner role for a team member (only visible if you're currently the owner).
- Confirm in the Transfer ownership window: "An organization can have at most 1 owner. Performing this action will change your own role to member and make the chosen team member the ownerβ¦"
π Manage β Notifications
Choose how your team stays informed about new comments and direct messages. Only owners and admins see this.
Setting up an hourly email summary
- Switch on Hourly email summary. You get one summary per hour; no new messages means no email.
- Under Email addresses, enter up to 10 addresses, separated by a comma or a new line.
- Choose the Email summary language and optionally adjust the introduction (leave it blank for the default text).
- Click Save.
Result: "Notification settings saved."
Setting up WhatsApp notifications
A short notification to a team member from your company WhatsApp account. Message charges may apply.
- Connect WhatsApp first, see Connect socials.
- Switch on WhatsApp notifications and fill in the Recipient number with country code.
- Tick that the recipient has given consent.
- Under Approved WhatsApp template, choose a template without personal data and with a link to the inbox. You create templates via Manage templates.
- Click Save.

Decide who answers new private conversations in your inbox. Only owners and admins see this.
Choosing who replies
Under Who replies? choose:
- Off β your team answers all messages itself.
- First message only β one standard message of your own at the start of a new conversation. Fill it in under First message. Existing conversations don't get a new welcome message.
- AI to arrange an appointment β after the first message, AI continues the conversation to arrange an appointment. Also fill in What should AI know about your business? and How may AI arrange appointments? (days, times, duration, location or phone call). No connected calendar is needed.
Click Save. You see "Reply settings saved."

A custom domain, webhooks to other systems, and keys to connect PrimaSocial to an AI assistant.
Adding a custom domain
- Enter a Domain name (for example jobs.yourcompany.com).
- Click Add domain.
- Save the DNS value shown right away β it's only shown once.
- Set this value with your domain registrar.
- Click Verify.
The status progresses through: Waiting for DNS proof β Waiting for verification β Certificate being issued β Active.
Adding a webhook
- Enter a Webhook URL (https) and optionally a Description.
- Click Add integration.
- Save the secret shown right away β it's only shown once.
Click Test to send a test delivery. At the bottom you'll see Latest deliveries with status: delivered, failed (with reason), or will be retried. Click Delete to remove an integration.
Creating an AI key (for Claude or another AI assistant)
- Enter a name (for example "Claude").
- Click Create key.
- Save the key shown right away β it's only shown once.
Click Revoke to invalidate a key. Up to 10 active keys can exist at the same time.
π³ Manage β Subscription
Your plan, trial period, payment details, and video credits.
Choosing a subscription plan
Available plans: Basis (1 team seat), Pro (4 team seats), and Ultra (8 team seats). During the trial period you have access to 4 team seats at Basis level.
- Click the Choose button with the plan's name next to the plan you want, for example Choose Pro.
- Complete the payment.
If you're a Member, you'll see the plans but no choose buttons, with the message "Only an owner or admin can choose the subscription."
Managing, changing, or cancelling your subscription
- Click Manage subscription.
- You're taken to a separate billing portal to upgrade, downgrade, cancel, or update your payment details.
If your subscription was set up manually by PrimaSocial, you won't see self-service buttons; contact support@primasocial.nl instead.
Buying video credits
Only visible with an active paid plan. Click the Buy β¦ video credits button (the number is on the button) and complete the payment. Credits are used when editing videos in Media and the Video editor.

- Fill in the form.
- Check the box agreeing to the refund policy and terms.
- Click the submit button and complete the payment.
Under Your requests you can track the status: awaiting payment, in review, being placed, placed, rejected (refunded), refunded, payment under review, refund under review. If rejected, the reason is shown alongside it.

Looking up and viewing a customer
Search by name. The list shows, per customer: status, subscription, member since, number of funnels, leads, team members, and AI usage (30 days). Click a name for the detail view with members, funnels & posts, connected channels, AI usage, and recent leads.
Activating or deactivating a customer
Use the toggle on the customer's detail page. A deactivated customer sees "Account deactivated" when signing in (see Getting started).
Setting a fallback plan or making a workspace unlimited
Manually assign a plan (Basis, Pro, Ultra, or none) via Save fallback plan, or turn on Unlimited creator workspace for unlimited AI and plan limits. This isn't possible if the customer still has an active Stripe subscription.

Reviewing a request
- β‘ Place via Meta β places the ad automatically (if available).
- Placed β mark as placed manually, with a campaign reference (at least 3 characters).
- Reject + refund β enter a reason (at least 5 characters); the customer is refunded automatically.
- Review refund β for placed ads where nothing has been spent yet.
Requests needing attention get a red banner with the reason.

Setting the AI model
Four configurable models: Text model (funnel generation), Primary assistant model, Fallback assistant model, and Image model (funnel and post images). Choose from the current list and click save.
π Platform β Testers
Testers are separate from the regular team role: it's a distinct permission to use the "Report a problem" button. A superadmin is not automatically a tester as well.
Adding or removing a tester
- Enter an Email address of an existing account.
- Click Add.
The list shows, per tester, since when and who added them. Click Remove to revoke tester access.

Platform management only: these parts are for PrimaSocial's internal superadmins. Customers don't see them.
Alerting and Second factor
Alerting is the platform's internal outage monitoring. Second factor is the extra sign-in code that only applies to superadmins. Owners, admins and members have no second factor; they don't need to do anything here.

Testers see a button on every screen to quickly report a problem.
Reporting a problem
- Click the button.
- In the What's going wrong? field, describe what you were doing, what you expected, and what happened. The page, screen size, browser, and recent error messages are attached automatically.
- Click Submit.
Result: "Report #β¦ created. Thank you!" (with the number of your report) β an issue is created automatically for the development team.

Common messages and what you can do about them.
I see "Publishing is only available to managers"
You're signed in as a Member. Ask an owner or admin to publish, or have your role adjusted under Users.
My payment failed, what now?
Go to Subscription and click Manage subscription to update your payment details. Without action, your account will eventually be interrupted.
I get "Maximum number of seats reached for your plan"
Your team is full for your current plan. Upgrade your subscription under Subscription, or withdraw a pending invitation under Users to free up a seat.
An invitation or reset link no longer works
Invitations and password reset links are only valid for a limited time and can only be used once. Request a new link (see Getting started) or, for a team invitation, ask your admin to invite you again.
I don't see a menu item that a colleague does see
Some items depend on your role (Owner/Admin see more than Member) or on your plan (for example video storage or UGC video). Use the role filter on the left of this manual to see what applies to your role.
A file is rejected when uploading
Check the file type and maximum size: images up to 5 MB (PNG/JPG/WEBP), videos up to 100 MB (MP4/MOV/M4V). If your file is larger or a different type, reduce or convert it first.
Which parts only work when PrimaSocial switches them on?
These parts have an on/off switch at PrimaSocial. If one is off, you don't see it in the app. In this manual they carry the label Only when switched on.

π Channels β Connect socials
Connect your social media channels, your Meta ad account and WhatsApp. How many channels you can connect depends on your plan (Basis 3, Pro 6, Ultra 10). Only an owner or admin can connect and disconnect; a member sees the page read-only.
Connecting a social channel
Channels: Facebook, Instagram, LinkedIn, X (Twitter), TikTok and YouTube. Only when switched on Also Threads, Bluesky, Pinterest and Reddit (switched on in the live app).
Result: the channel is in the list and can be chosen in Posts & planning.
Disconnecting a channel
Result: the channel can no longer be chosen when posting. Earlier conversations and comments in the Inbox are kept.
Connecting your Meta ad account
Needed to advertise on Facebook & Instagram from a funnel or post, and for the ad figures on the Dashboard.
Result: you see "Connected" with the account's name.

Managing WhatsApp templates & automations
Creating a template: enter a name and message text (with any variables) and submit it for approval. A template moves through the statuses Pending β Approved/Rejected, and can later be paused, disabled or deleted.
Setting up an automation: choose an event (for example "lead received", or a status such as "contact", "appointment", "won", "lost"), link an approved template to it and switch it on.
